Processing of personal data and data controller

The information you provide on this website now and in subsequent applications, and the information Pew may acquire as a result of your application or employment will be held and processed by or on behalf of Pew for purposes related to your registration of interest in current or future employment with Pew, the processing of your application for employment and, if your application is successful, your employment.

Your personal data will be processed in accordance with the Belgian Act of 8 December 1992 on the protection of privacy in relation to the processing of personal data and the EU General Data Protection Regulation of 27 April 2016. The controller of your personal data is The Pew Charitable Trusts, a non- profit organisation incorporated under the laws of Pennsylvania, with its registered office at One Commerce Square, 2005 Market Street, Suite 2800, Philadelphia PA 19103, USA, and with its Belgian branch office at Avenue de Arts 40, 1040 Brussels, Belgium.

Purposes and duration of processing

When you request information through this site, we may need to receive some personal data about you. You can decide what personal data you provide to us. To help in the recruitment process, we collect personal data about you from your profile, resume/CV and in some circumstances from external assessors. This is necessary in order to assess your application and take further steps prior to entering into an employment contract. You may choose to provide us with personal data if, for example, you contact us with an enquiry, register on the site, or fill out a resume/CV or other form which may include your personal information.

We may use the personal data that you supplied (including telephone number, postal address, and or email address), in order to contact you regarding our recruitment opportunities and provide you with information about working at Pew. We may use your personal information in order to respond to your queries and requests. The personal information you provide may be used by a service provider to enable us to respond to you. If your application is unsuccessful, Pew may retain and use your personal data in a secure database for up to 2 years to deal with any matter which may arise in connection with your application, for purposes of contacting you in connection with ongoing recruitment opportunities, as well as for data analysis, general management and business purposes.

If your application is successful, your personal data will be used in the administration of your employment. Additional personal data will, at that moment, be requested from you for that same purpose. Administration of your employment includes the performance of your employment contract, compensation management, Pew’s compliance with its statutory obligations or other processing operations in Pew’s legitimate interests (such as performance appraisals and monitoring, development of HR policies and procedures, internal statistics, etc.). Such data will be retained as long as necessary for the fulfilment of these purposes.

We do not collect any additional personal data about you other than that outlined above. Under no circumstances will the personal data you provide be used for marketing purposes.

You have the right to request access to your personal data, and its correction in the event of inaccuracies. You also have the right to request erasure of your personal data when such data is no longer relevant. Although you may request that your personal data be deleted at any time, we may have to retain certain personal data for contract performance purposes or in order to comply with statutory retention obligations.

In addition, you have the right to object to the processing of your personal data in relation to justified personal circumstances and to request the restriction of the processing in specific circumstances.

You can update your contact details at any time by visiting your candidate account and updating your information accordingly. Finally, note that you have the right to receive the personal data concerning you, which you have provided to Pew, in a structured, commonly used and machine-readable format (data portability).

Sharing your personal data

To achieve better quality or efficiency in the processing and administration of applicant and employee data, Pew may enter into contracts with third parties to carry out this processing on behalf of and only according to Pew’s instructions. Please also note that when data is transferred to third parties, these parties are bound by confidentiality and data protection agreements and are required to keep your data securely. Such third-parties may include data hosting providers, payroll providers and the like.

The technical processing and transmission of your personal data (whether within Pew or through third parties) may involve transmissions over various networks, including the transfer of your personal data to the United States and/or other countries for storage, processing and use. This may include countries located outside the European Economic Area (EEA) which do not offer a level of protection for personal data comparable to that offer by Belgian law. In that case, Pew shall take adequate measures (standard contractual clauses for the transfer of personal data) in order to ensure that your personal data is sufficiently protected.
